Wiise Software Pty Ltd (“Wiise”) respects your privacy and your right to know how we handle your personal information. Wiise complies with the Privacy Act 1988 (Cth), the Australian Privacy Principles, and where applicable or contractually required - the privacy laws of other jurisdictions. This Privacy Notification and Privacy Policy explain how we handle your personal information.

We may need to update this Privacy Notification and Privacy Policy from time to time to reflect our current privacy practices or changes in the law, regulations and/or professional standards. When we make any changes to this Privacy Notification and Privacy Policy, we will post the updated policy on our website.

In this Privacy Notification and Privacy Policy, ‘Wiise’, ‘we’, ‘us’ and ‘our’ is a reference to Wiise Software Pty Ltd.

Wiise will only collect and process your personal information if we have a lawful basis to do so. That basis will generally be our legitimate interests in collecting or using your information because it benefits you, Wiise or someone else, without causing an undue risk of harm to anyone, with your information used in in a way that you would reasonably expect and consistent with this Privacy Policy and Privacy Notification. Wiise may, with human oversight and review, utilise approved AI tools to automate functions and support decision making activities previously conducted by Wiise employees and contractors in collecting and using your personal information, including in human resources recruitment and data analytics.

Wiise does not retain your personal information for longer than legally necessary. We destroy information we do not need to keep.

1. Personal information we collect

We collect different types of personal information depending on the nature of our interactions with you. We may collect your personal information from several different sources including:

  • directly from you or your authorised representatives
  • when you use our products or services including our online services
  • from outside sources and third parties –
  • where you have provided consent
  • where a third party has notified you that they we provide your data to us, or
  • where the collection of your information is permitted by law.

Examples of personal information we may collect include:

  • General identification information such as names, job title, occupation, date of birth and gender.
  • Contact details such as address, email address, phone and mobile phone number, device identifiers and Internet Protocol (IP) address.
  • Usernames and passwords.
  • Educational qualifications, employment history, salary, and background and referee reports.
  • Payment details including PAYG Payment Summaries, payslips, and other income earning information, for example payment summaries from your employer and super fund, statements from banks and financial institutions showing interest received, employment termination payment summaries, receipts for gifts, donations and work-related expenses.
  • Information contained in identification documents such as passport or driver’s licence.
  • Government-issued identification numbers such as tax file numbers.
  • Financial information such as credit card and bank account details, shareholdings and details of investments (e.g. if you have shares, units, managed funds or other investments, details of dividend payments and distributions from managed funds, any investment gains or losses from the disposal of shares, units and rental properties, including associated income and expenditure).
  • Details of superannuation and insurance arrangements.
  • Visa or work permit status and related information.
  • Information about immigration status.

It may be necessary in some circumstances for us to collect some forms of sensitive information about you in order to provide specific services to you. Sensitive information includes information about a person’s race, gender diversity, sexual orientation, disability, ethnic origin, political opinions, health, religious or philosophical beliefs and criminal history. We will only collect and use sensitive information with your consent, in accordance with applicable laws or in a de-identified aggregated manner.

You might need to provide personal information about other individuals to us (e.g. about your spouse, dependants or other family members or employees). If so, we rely on you to have informed those individuals that you are giving their personal information to us, to have advised them about this Privacy Notification and Privacy Policy and how they can obtain a copy of it and that you have the necessary authority to provide that personal information to us.

It is important to be aware that if you access another party’s website or application using one of our products or services or via our website, that other party will deal with your personal information in accordance with its own Privacy Notification and Privacy Policy. You will need to review those websites to view a copy of the relevant Privacy Notification and Privacy Policy.

It is generally not practical to remain anonymous or to use a pseudonym when dealing with us as usually we need to use your personal information to provide specific services to you, or which relate to or involve you.

2. How we collect and manage personal information

2.1 How we collect personal information

Generally, we collect your personal information from you directly, for example, when we deal with you in person or over the phone, when you send us correspondence (including via email), when you complete a questionnaire, form or survey, when you attend an event we sponsor, when you apply for employment with us, or when you subscribe to our publications or make contact with us.

Sometimes we will collect your personal information from public sources, third parties and other outside sources, in circumstances where you would reasonably expect us to collect this information. For example, we may collect your personal information from:

  • your personal representatives,
  • where you have authorised disclosure to us, from banks,
  • public registers,
  • social media and networking sites if your posts, activities and/or profile information are public,
  • where you have applied for a job or are a current employee - from other persons, such as law enforcement agencies, the Department of Home Affairs, education or other institutions or professional organisations, and with your consent – from background checking service providers.

We may also collect personal information about you from your use of our websites and social media and information you provide to us through contact mailboxes.

2.2 Holding personal information

We store information in different ways. In some cases, we engage third parties to host electronic data (including data in relation to the services we provide) on our behalf. Protecting your personal information matters to us, and we take all reasonable steps to secure it and protect it from misuse, corruption, loss, unauthorised access and unauthorised disclosure. The measures we take to protect your information while we hold it or can access it include:

  • Security measures to control access to our systems and physical premises
  • Ensuring third parties engaged by us comply with our privacy standards, obligations, processes and requirements
  • Privacy and confidentiality requirements, obligations and training applying on a mandatory basis to our staff and contractors
  • Restricting access to personal information
  • Document storage and security policies
  • Technological controls such as firewalls, the use of encryption, passwords and digital certificates
  • Data retention, de-identification, pseudonymisation, and destruction processes
  • Processes and policies governing the identification, mitigation, management and where appropriate the notification of privacy events and breaches.

We endeavour to ensure that personal information is kept as current as possible, and that all reasonable steps are taken to ensure that irrelevant or excessive data is deleted or de-identified as soon as reasonably practicable. However, some personal information may be retained for varying time periods in order to comply with legal and regulatory obligations and for other legitimate business reasons.

2.3 Purpose for collecting, holding, using and disclosing personal information

We will only collect, use, hold and disclose your personal information if we have a permitted or lawful reason to do so, or you have otherwise consented. Wiise collects, holds and uses personal information for a number of purposes including:

  • to provide technology services and solutions
  • to respond to requests or queries
  • to maintain contact with you, and keep you informed of our services and events
  • to verify your identity
  • For administrative purposes, including:
  • processing payment transactions,
  • charging and billing,
  • detecting or preventing fraud, and
  • identifying breaches of our terms and conditions
  • for recruitment purposes
  • for purposes relating to the employment of our personnel, providing internal services or benefits to our staff and for matters relating to the company
  • when engaging service providers, contractors or suppliers relating to the operation of our business
  • when engaging with our alliance partners or implementation partners, relating to the operation of our business and delivery of technology services or solutions
  • to manage any conflict of interest or independence obligations or situations
  • to conduct surveys
  • for seeking your feedback
  • for governance and compliance purposes including to meet any regulatory obligations
  • to perform internal statistical analysis, including of our databases and website
  • for business purposes such as part of an actual (or proposed) acquisition, disposition, merger or de-merger of a business (including related businesses) or entering into an alliance, joint venture or referral arrangement.
  • for development and analytics purposes to develop our expertise and know how, including:
  • for benchmarking purposes,
  • development, analytics and business intelligence functions including web site trend and performance analysis.
  • quality assurance and thought leadership, and
  • other purposes related to our business.

We may also use non-personal, de-identified and aggregated information for several purposes including for data analytics, research, submissions, thought leadership and promotional purposes. Any output is anonymised or aggregated so that no personal information or information relating specifically to you is reasonably identifiable.

We may also use your personal information for the purpose of marketing its products, services and offerings to you. This may include products, services and offers provided by our alliance partners. If you do not want to receive marketing material from us, you can contact us using the details at the end of this document.

If you do not provide us with the personal information we have requested, we may not be able to complete or fulfil the purpose for which such information is required; including providing the services we were engaged to perform.

2.4 Disclosure and sharing of your personal information

We may share your personal information with other parties including:

  • Your authorised representatives, advisors and referees,
  • Our personnel and professional advisors, including debt collectors and lawyers,
  • Experts or other third parties contracted as part of providing technology services and solutions,
  • Our agents, third party contractors and suppliers that assist us with providing our business processes and products and services,
  • Nominated superannuation funds,
  • Our related companies
  • Third parties as part of an actual or proposed acquisition, disposition, merger or de-merger of a business (including our business) or to enter into an alliance, joint venture or referral arrangement,
  • Our alliance partners, including members of our corporate group and Microsoft,
  • Our implementation partners for technology solutions,
  • Other parties including government or regulatory bodies (for example, the Australian Taxation Office, the Australian Securities Investment Commission and The Department of Home Affairs), professional or industry bodies or agencies, as part of an engagement or as required by or in accordance with any industry code or industry standard including foreign authorities or regulators relevant or applicable for the purposes of our provision of services,
  • Other parties when you ask us to do so or when you consent to that disclosure.

Where you are a customer, an employee, a contractor or supplier of services to a Wiise service-user, then we may disclose your personal information as part of providing services to that Wiise service user.

We do not disclose personal information to third parties for the purpose of allowing them to send marketing material to you for their own purposes.

We may share non-personal, de-identified or aggregated information with select third parties for research, development, analytics or promotional purposes other than direct marketing.

Depending on the circumstances, we may disclose your personal information to our service providers, alliance partners or implementation partners to assist us in the provision of the services or to facilitate your request or for marketing purposes. Depending on which service provider, alliance partner or implementation partner we need to disclose your personal information to, they may store or back up the information on servers that are located overseas. These organisations and service providers may be located within Australia or outside of Australia in countries including, but not limited to the UK, New Zealand and Ireland We contractually ensure that these organisations are contractually required to comply with Australian privacy laws.

Where we do this, we require these parties to substantively comply with the privacy standards, privacy obligations and privacy laws applicable to Wiise, to protect your information and to restrict how your information may be used.

3. Direct marketing

Wiise may use your personal information for the purpose of marketing its services.

4. Privacy on our websites

4.1 Automatic collection of personal information

Cookies, web beacons, device type identifiers, and other technologies are used by Wiise and its service providers on some Wiise websites and through email to automatically collect certain types of information. The collection of this information allows us to customise your online experience (including tailored Wiise marketing), improve the performance, usability and effectiveness of Wiise’s online presence and to measure the effectiveness of our marketing activities.

If you register or log into a Wiise web site and provide information about your preferences, we will use your information to personalise your user experience.

4.1.1 IP address

An IP address is a number assigned to your computer whenever you access the internet. It allows computers and servers to recognise and communicate with one another. Public IP addresses from which visitors appear to originate may be recorded for IT security and system diagnostic purposes. This information may also be used in aggregate form to conduct web site trend and performance analysis, and to personalise your user experience.

4.1.2 Cookies

Cookies may be placed on your computer or internet-enabled device whenever you visit us online. This allows the site to remember your computer or device and serves a number of purposes.

Although most browsers automatically accept cookies, you can choose whether or not to accept cookies via your browser's settings (often found in your browser's Tools or Preferences menu). You may also delete cookies from your device at any time. However, please be aware that if you do not accept cookies, you may not be able to fully experience some of our web sites' features.

Cookies by themselves do not tell us your email address or otherwise identify you personally. In our analytical reports, we may obtain other identifiers including public IP addresses, but this is for the purpose of identifying the number of unique visitors to our web sites and geographic origin of visitor trends, and not to identify individual visitors.


4.1.3 Analytics Tools

Wiise uses analytics tools to provide website visitors with more choice on how their data is collected. When visiting our website you can directly permit or restrict how much of your browsing data is collected and used.


4.1.4 Web beacons

A web beacon is a small image file on a web page that can be used to collect certain information from your computer, such as an IP address, the time the content was viewed, a browser type, and the existence of cookies previously set by the same server.

Wiise or its service providers may use web beacons to track the effectiveness of third-party web sites that provide us with recruiting or marketing services or to gather aggregate visitor statistics and manage cookies.

You have the option to render some web beacons unusable by rejecting their associated cookies. The web beacon may still record an anonymous visit from your IP address, but cookie information will not be recorded.

In some of our newsletters and other communications, we may monitor recipient actions such as email open rates through embedded links within the messages. We collect this information to gauge user interest and to enhance future user experiences.

4.1.6 Social media widgets and applications

Wiise web sites may include functionality to enable sharing via third party social media applications. These social media applications may collect and use information regarding your use of Wiise web sites. Any personal information that you provide via such social media applications may be collected and used by other members of that social media application and such interactions are governed by the privacy policies of the companies that provide the application. We do not have control over, or responsibility for, those companies or their use of your information.

In addition, Wiise web sites may host blogs, forums, crowd-sourcing and other applications or services (collectively "social media features"). The purpose of social media features is to facilitate the sharing of knowledge and content. Any personal information that you provide on any Wiise social media feature may be shared with other users of that social media feature (unless otherwise stated at the point of collection), over whom we may have limited or no control.

4.2 Links to third party websites

Wiise’s websites may contain links to third parties’ websites, including sites maintained by KPMG, and Microsoft. Those other websites are not subject to our Privacy Notification and Privacy Policy and/or procedures. You will need to review those websites to view their privacy documents.

4.3 Your choices

You have several choices regarding your use of Wiise’s websites. In general, you are not required to provide personal information when you visit our websites. However, if you apply to receive information about our services, events and industry updates or wish to apply for a job, provision of certain personal information will generally be required. 

5. Children

We understand the importance of protecting children’s privacy, especially in an online environment and it is our policy to never knowingly collect or maintain information about anyone under the age of 13.

6. Gaining access to personal information we hold

You can request access to your personal information, subject to some limited exceptions permitted or required by law. Please see 'How to contact us' for details.

7. Keeping personal information current

If you believe that any personal information Wiise has collected about you is inaccurate, not up-to-date, incomplete, irrelevant or misleading, you may request correction. Additionally, if you believe that we are holding personal information about you that is no longer required for the services you have engaged Wiise to provide, you have the right to seek that this information is erased.

8. Complaints

If you wish to make a complaint to Wiise about our handling of your personal information, you can contact us by using the information provided at 'How to contact us' below. In your complaint we ask that you set out all the relevant details for us to consider.

Wiise will endeavour to reply to you within 30 days of receipt of all necessary information and where appropriate, will advise you of the general reasons for the outcome of the complaint. In some circumstances, we may decline to investigate the complaint (for example if the complaint relates to an act or practice that is not an interference of the privacy of the person making the complaint).

If you are not satisfied with the outcome of your complaint, you can refer your complaint to the Office of the Australian Information Commissioner.
